Acceptable Use Policy

This Acceptable Use Policy ("AUP") sets out rules for acceptable use of any website, software, hosting, email, GPS tracking platform, School Management System, or AI tool provided by Kikavu Tech Solutions. Violation of this AUP may result in suspension or termination of Services.

1.General Conduct

You agree to use our Services lawfully, respectfully, and in a manner that does not harm Kikavu Tech Solutions, other clients, or third parties.

2.Prohibited Activities

• Uploading, storing, or transmitting illegal, defamatory, or infringing content;
• Distributing malware, viruses, or malicious scripts;
• Attempting unauthorised access to systems, networks, or accounts ("hacking"), including penetration testing without prior written authorisation;
• Sending unsolicited bulk email (spam) or phishing communications through hosted mailboxes;
• Infringing intellectual property or privacy rights of others;
• Reverse-engineering, decompiling, or circumventing security or licensing controls of our software;
• Reselling, sub-licensing, or providing third-party access to Services without written authorisation;
• Deliberately overloading servers, APIs, or infrastructure (e.g., denial-of-service activity);
• Scraping, harvesting, or extracting data from our platforms without authorisation.

3.Acceptable Use of AI Tools

AI features must not be used to generate unlawful, harmful, deceptive, or infringing content, to impersonate individuals or organisations, or to make automated decisions with legal or significant effect on individuals without human review. Clients are responsible for validating AI-generated output before business use.

4.Acceptable Use of GPS Tracking

GPS Fleet Tracking may only be used for lawful business purposes such as fleet management, safety, and logistics optimisation. Clients deploying tracking on vehicles used by employees or third parties are responsible for providing any legally required notice or consent to those individuals.

5.Acceptable Use of School Management Systems

Access to student, parent, and staff records must be restricted to authorised school personnel. Schools must not use the system to process data beyond what is necessary for education administration.

6.Email & Hosting Resources

Business email and hosting resources must be used in accordance with fair-use limits specified in your service plan. Excessive resource consumption that affects shared infrastructure may result in throttling or a request to upgrade your plan.

7.Monitoring & Enforcement

We reserve the right to monitor systems for security and abuse-prevention purposes and to investigate suspected violations of this AUP. We will handle any personal data encountered during such investigations in accordance with our Privacy Policy.

8.Reporting Violations

Suspected abuse of our Services can be reported to info@kikavutechsolutions.com.

9.Consequences of Violation

Violations may result in warning, suspension, or termination of access, removal of offending content, and, where applicable, referral to law enforcement. No refund will be issued where suspension results from a client's breach of this AUP.

10.Changes to This Policy

We may revise this AUP from time to time; continued use of Services constitutes acceptance of the revised policy.
